We have an exciting opportunity for an Executive Assistant at UL Standards & Engagement, based in our Washington, D.C office. The Executive Assistant provides administrative support and assistance to 3 executives leaders at UL Standards & Engagement (ULSE).

 

This role works under minimal supervision to perform advanced, diversified, and confidential administrative duties that requiring broad and comprehensive experience, demonstrated skill and knowledge of organizational policies and practices. This individual collaborates with internal and external stakeholders to organize schedules, plan meetings, and build travel itineraries. Other responsibilities include preparation and management of expenses, records, statistics, and other documents in support of operations, personnel changes, etc.  The Executive Assistant prepares varied and letters, memoranda correspondence, and reports. This position requires a high level of tact and integrity due to the frequency of senior-level internal and external communications and regular exposure to high-level confidential data.

What you’ll learn & achieve:

As the Executive Assistant you will play a key role in the rapid growth of UL as you:

  • Establishes and ensures front line representation of UL Standards & Engagement mission and professionalism. Exists and operates under absolute discretion and confidentiality.
  • Assists with confidential projects, which may include creating supporting documentations and presentations.
  • Assists in the budgetary process for the executive as needed including expense reports and documentation management. Assists in the preparation and control of a variety of office records and reports regarding operations, personnel, and other functional needs.
  • Schedules, coordinates, and maintains calendar and travel itineraries. Makes, monitors, and adjusts meeting and travel arrangements.
  • Serves as administrative liaison within or outside the company regarding administrative issues related to the organization.
  • Coordinates with building management on visitor access and meeting room reservations.
  • Manages internal meetings including scheduling, set up, and catering.
  • Relieves the organizational unit of administrative work and project details where appropriate, including preparing varied to complex reports, typing documents, filing, answering questions regarding the organizational unit procedures and processes, screening phone calls as appropriate.
  • Diligently understands and follows the Underwriters Laboratories Code of Conduct, and follows all physical and digital security practices.
  • Performs other duties as directed.

  • Must be extremely detailed oriented, organized, and time sensitive

 

Professional education and experience requirements for the role include:

  • Higher Secondary Education plus generally five or more years of related administrative assistant experience.
  • Experienced in judicious decision making and operates under absolute discretion and confidentiality.
  • Auditable document and IP management and control skills
  • Project management experience.
  • Strong experience with the preparation of publications, reports, and technical presentations, including typing and editing documents.
