What you’ll learn & achieve:

Under supervision, provides a wide variety of administrative and staff support services to the Global Real Estate and Facilities team. Position will be responsible to coordinate with various stakeholders, site leads and facilities leads in UL Solutions Global Real Estate footprint on various tasks.  Some tasks will include assisting in budget preparation and reporting, surveying on coordination of asset counts, preparation of portfolio reports. Administers programs, projects and/or processes specific to the Real Estate and Facilities team. Serves as administrative liaison with others and outside the company regarding administrative issues related to purchasing, personnel, facilities, operations, etc. Composes varied to somewhat complex letters and memoranda and follows up on outstanding items. May make meeting and travel arrangements. May assist in orienting new employees.

  • Assists the RE&Facilities team with communications, surveys and other correspondence
  • Coordinates with the network of global facilities leads to fulfill various tasks 
  • Assists the organizational unit with projects, which may include researching issues and drafting documents for review by the assigning staff member.
  • Relieves the team of administrative work where appropriate, including preparing reports, purchase orders, receiving invoices, filing, answering questions regarding the organizational unit procedures and processes, screening phone calls as appropriate, etc.
  • May schedule, coordinate and maintain calendar and travel itineraries for one or more individuals within the organizational unit.
  • May assist in the budgetary process for the organizational unit.
  • Performs other duties as directed.
  • Maintain records of purchase orders/invoices relating to real estate and facilities
  • Assist in the 5’s Initiative (Sort – Unneeded tools, parts and supplies are removed from the area. Set in Order – A place for everything, everything in its place. Shine – The area is cleaned as the work is performed. Standardize – methods are consistently applied. Sustain – 5S is a habit and is continually improved) where applicable within the Real Estate and Facilities unit
  • Assists the Real Estate and Facilities unit with varied projects such as Fixed Asset cycle count results, which may include researching issues and drafting documents for review by the assigning staff members

What makes you a great fit:

  • Higher Secondary Education plus generally two or more years of related administrative assistant experience. Demonstrated ability to use various PC-based software packages for basic word processing, graphics and spreadsheets.
