What you’ll learn & achieve:

This role is hybrid based out of our Northbrook, IL office

 

Reporting to the Director Real Estate Projects, the Real Estate Specialist manages all aspects of the global real estate property database, including process and content coordination with third party provider of lease administration systems and related services. Acts as primary department contact for UL finance/accounting with respect to real estate lease accounting data integration. Will also provide ongoing project support to global real estate program and operations managers throughout the real estate transaction management process.

 

JOB RESPONSIBILITIES:

 

  • Assists global real estate program and operations managers in all aspects of project development and implementation as needed.
  • Oversees real estate and lease document management process (form development, completion, collection, etc.). Creates and maintains lease files ensuring they contain current, accurate information.
  • Responsible for tracking key milestone project dates and communicating required information to all internal and external partners. Ensures quality and timeliness of real estate transaction information entered into all databases.
  • Prepares and distributes periodic and ad hoc reports in a timely, accurate manner. Designs reports utilizing various report writers, Excel, Word, and/or Access. Reviews standard reports prepared by team members for accuracy.
  • Coordinates with third party contractor and internal accounts payable to ensure accuracy and completeness of monthly rent management process (payables and receivables associated with leases in portfolio).
  • Works closely with internal and external lease administration, project management, facility management, and finance/accounting teams to ensure proper process integration.
  • Ensures key transaction documentation and close out materials are maintained for future reference.
  • Ensures proper distribution of lease documentation to designated internal and external parties.
  • Maintains and updates global real estate internal website.
  • Support M&A due diligence and integration activities.
  • Performing other duties as assigned.

What makes you a great fit:

 

  • Bachelor’s degree in Business, Accounting or Finance
  • 3+ years of experience in lease administration, real estate transaction management, accounting, or property management
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook) and SharePoint, with the capability to master company specific accounting and database programs
  • Knowledge of principles, policies and practices relating to commercial real estate transaction
  • Excellent customer service skills with ability to work with all levels of the organization
  • Excellent organizational skills with ability to manage multiple projects
  • Possess solid analytical skills with ability to understand and interpret data
  • Strong verbal and written communications skills
  • Ability to work independently or as member of a team within a diverse, collaborative, and driven professional environment with an ability to work in a dynamic, global team environment
  • Ability to stick to task until project is completed successfully
  • Effective at networking and collaboration, with ability to work effectively with cross functional teams
