Executive Assistant to the President and CEO


Reporting directly to the President and CEO, UL Solutions, a safety science company, is seeking an Executive Assistant to support the President and CEO, C-Suite executives, and Board of Directors. This role will work under minimal supervision to perform diversified and confidential administrative duties requiring broad experience and demonstrated skill and knowledge of organizational policies and practices. The Executive Assistant will manage projects and prepare complex letters, presentations, and reports. This individual will collaborate with internal and external stakeholders to organize schedules, plan meetings, and build travel itineraries. Other responsibilities include the coordination, preparation and management of budgets, records, statistics, and other documents in support of UL Solutions operations. This position will require a high level of tact and integrity due to the frequency of senior-level internal and external communications and exposure to confidential data. 


Job Responsibilities:

  • Provides administrative support and assistance to the President and CEO, the executive team and board members.
  • Performs administrative tasks including preparing letters, memos, invoices, reports, presentations, and other documents for executives and staff.
  • Assists with confidential projects and research, including project coordination and representing the CEO as appropriate.
  • Schedules, coordinates, and maintains complex calendars among the internal executives and external business relationships and develops yearly corporate calendar. 
  • Proactively signals and addresses any organizational or logistical issues and provides a recommendation for solution.
  • Assists in the budgetary process for the executives, processing expense reports and purchase orders and manages and tracks expenses through the reimbursements process.
  • Plans travel itineraries, applies for visas, books flights, hotels and ground transportation for domestic and international travel and travels when required.
  • Performs detailed planning and coordination for company board of directors meetings and senior leadership programs and events.
  • Establishes and ensures front-line representation and professionalism of UL Solutions’ mission within or outside the company.
  • Diligently understands and follows the UL Solutions Code of Conduct and follows all physical and digital security practices.
  • Performs other duties as directed, including domestic and international travel required to support company meetings and events.

What makes you a great fit:


  • Secondary education plus generally five or more years of related administrative assistant experience, preferably supporting C-suite executives
  • Experienced in decision making and operating under discretion and confidentiality.
  • Ability to judge which topics require executive level attention and ability to manage several projects simultaneously, following timelines, and conflicting demands. 
  • Superior project and time management skills for self and others.
  • Strong meeting and logistical planning skills for board or senior leadership meetings.
  • A self-starter who solves problems and works independently.
  • Organized and detail oriented.
  • Strong writing, proofreading, spelling and grammar abilities.
  • Ability to establish strong and effective working relationships with others within and outside of the organization across all levels of responsibility.
  • Well versed with collecting notes and observations during meetings and the ability to quickly summarize and distribute those notes as needed via verbal or written communication.
  • Shares an enthusiasm for ongoing learning and taking on new work opportunities.
  • Proficient in Microsoft Office suite and Diligent.
