Remote Senior Leave Administration Specialist

The Senior Leave Administration Specialist is responsible for administering all United States leave programs and policies from initiation through closure, including all appropriate communications, transactional updates, and claim reviews involving employee HR records and pay and benefits coordination. This role will be responsible for providing consistent, quality care in a high-volume service center environment.  The Senior Leave Administration Specialist will also serve as a subject matter expert guiding best practices related to leave management. This role is critical in ensuring compliance with all benefit regulatory and reporting matters, maintaining up-to-date leave benefit plan and policy documents, managing vendor relationships, and providing exceptional internal support across our organization.

• Manage the day-to-day administration of all leave programs and policies including, but not limited to: UL Paid Family Leave for Caregivers, UL Parental Leave, ADA, FMLA, Unpaid LOA, Military Leave, UL Salary Continuation Plan, and state leaves
• Develop an integrated and holistic leave management approach in accordance with existing policies and programs as well as federal, state, and local laws and regulations,
• Assess, adjudicate, track and monitor all leave claims in coordination with the absence management carrier where applicable
• Complete and ensure accurate documentation, approval, and tracking for all leave, and leave-related activities
• Work with Payroll to ensure employees on leaves are paid accurately and are appropriately enrolled in benefits (as applicable), responsible for the operation of processes related to leave policies such as health and retirement plans
• Collaborate with absence management carrier and People Leaders on return-to-work activities: obtain RTW authorization from a physician, gain knowledge of the physical requirements of the existing job or alternate job, coordinate department compliance with restrictions and agreed upon accommodations
• Deliver high touch quality people experience by using a professional and service-focused approach when handling all leave claim matters, inquiries, transactions, and requests
• Ensure employee privacy, GDPR compliance, including confidentiality and protection of sensitive employee reports or information
• Attend and participate in ongoing training to support the everchanging environment
• Collaborate closely with other functions including Safe-Secure, Global HR Services and Solutions, Legal and Payroll to identify, research and resolve leave related matters
• Partner with internal communications to develop and implement effective educational strategies to ensure effective and consistent messaging of programs to employees and leaders and to improve overall leave management competency
• Ensure competitiveness of leave programs/policies and evaluate the effectiveness of practices and procedures while driving towards cost-efficiency
• Coordinate vendor review process, participate in vendor performance analysis, and selection of new vendors
• Perform other duties as assigned

• 6+ years’ experience in leave management and employee benefits
• In-depth working knowledge of US leave management regulations (FMLA, ADA, state and local leaves, USERRA, Pregnancy Discrimination Act)
• Experience managing leave and absence administration vendors
• Superior customer service skills with demonstrated  discretion, integrity, judgment, responsiveness, and strong attention to detail
• Excellent oral and written communication skills
• Experience with HR and/or case management technologies (e.g., portal technology, case management, human capital management, etc.)
• Attentive listening skills that enable asking of probing questions to aid them in problem-solving and issue escalation
• Experience with HR administration and general exposure/knowledge of various HR functions (e.g., policy, compensation, employee relations, benefits, performance management, etc.)
• Proficient computer skills (Microsoft Word, Microsoft Excel, etc.),
• Dependable and willing to learn
• Team player with a positive attitude.
