Emergo by UL is comprised of two consulting businesses focused on supporting many of the world’s leading medical device and pharmaceutical manufacturers globally. The Human Factors Research & Design (HFR&D) team is an industry leader in providing user research, user interface design, usability testing and other human factors consulting services to its clients in areas such as drug-delivery products, critical care devices, robotic-assisted surgical systems, medical software, and laboratory instruments. Emergo is a leading regulatory consulting business specializing in global medical device and IVD compliance with comprehensive solutions, both consulting and software based, designed to help medical device companies achieve and maintain global regulatory compliance and commercial success.

What you’ll learn & achieve:

The Workforce Management Lead role is a critical one, as this individual will be the primary contact point for (1) HFR&D sales personnel selling and scoping future projects, and (2) subject matter experts (SMEs)/project leaders once a project is accepted and ready to be scheduled. The Workforce Management Lead will communicate daily with several team members to obtain and maintain a clear understanding of sales opportunity pipeline and existing work on hand to ensure proper staffing and capacity planning based on team member availability and skills and customer needs.

 

The Workforce Management Lead will work in partnership with the senior leadership of the HFR&D consulting team, as well as leaders of other consulting teams within the division. This position supports multiple internal stakeholders: technical SMEs/project leaders, project managers, and the HFR&D and division leadership teams. This position also indirectly serves all HFR&D customers by helping to optimize the team’s capacity and resource allocations to meet customer needs and allocate staff to projects in an appropriately effectively.

 

Optimal resourcing decisions are central to the successful development and retention of the teams. The Workforce Management Lead will develop unique insights into our business and our core internal stakeholders, and will be a prime candidate to lead key internal organizational projects related to capacity planning, resource allocation tool development, and other aspects of our work.

Our environment is dynamic and ever-changing, moving at a fast pace alongside our client’s evolving needs. The global Resource Planning team consists of resource planning professionals and former consultants who understand the sense of urgency that is synonymous with consulting. This is a fast-paced role where consultants are highly utilized and may frequently work on multiple projects in a client driven, results-oriented environment. The pressure is high to resolve resourcing demands quickly, find creative solutions, and make autonomous decisions. This role reports to the Director of Operations for Product Lifecycle.

Key Responsibilities:

We are looking for an individual who can identify and resource consultants to client projects, business development opportunities, thought leadership activities, and internal initiatives in a fast-paced environment.

 

Within the first 3-6 months, the Workforce Management Lead will focus on the following:

  • Receive, organize, and respond promptly to several requests per day from sales personnel and SMEs regarding HFR&D consulting opportunities and support requests.
  • Collaborate effectively with global Resource Planning team colleagues to deploy SMEs / HFR&D team members in a manner that optimizes overall productivity while supporting team members’ individual development objectives.
  • Engage with the principals and other senior leaders to understand, plan for, and ultimately meet the resourcing demands of their pipeline.
  • Monitor and communicate current and near-term delivery capacity.
  • Create, maintain, and manage skills and competency matrices as necessary to support appropriate and efficient resource allocation.
  • Serve as initial point of escalation to resolve resource planning conflicts.

After 3-6 months, we expect the Workforce Management Lead's responsibilities to expand and progress to include the following broader responsibilities, in addition to the above:

  • Leveraging pipeline and work on hand data, flag resourcing capability gaps to the senior leadership as an input to hiring.
  • Work with other members of the Operations Team and business to retrieve relevant, and necessary data for various Capacity Planning initiatives.
  • Act as the operational lead for capacity planning and own the analytics to enable appropriate resource planning and utilization monitoring by business leaders.
  • Work with Operations Director and P&L Leaders to develop and implement operating unit wide capacity and resource planning strategy and governance.
  • Develop and maintain resource planning and reporting tools that will guide strategic decisions and uncover optimization opportunities.
  • Serve as Process Business Administrator for key resource assignment, planning, and time reporting in division business applications, such as PSA.
  • Work on/lead internal projects with team members from the client-facing, HR, Finance, Operations and other internal functions.

What makes you a great fit:

  • Bachelors degree or equivalent.
  • Prior consulting experience in a professional service environment.
  • Proven problem-solving skills and high attention to detail.
  • Strong written and verbal communication skills.
  • Ability to build strong business relationships and influence key stakeholders at all levels within the business.
  • Excellent team-based interpersonal skills, as well as the ability to work independently.
  • Ability to demonstrate determination, diplomacy, and resilience.
  • Ability to rapidly assimilate multiple types of information from a variety of sources for effective decision making.
  • Ability to quickly learn and adapt to different software tools and systems.
  • Prior experience of resource management in a management consulting environment is a plus.
  • Salesforce, Oracle, PSA, and PowerBI experience is a plus.
  • Proficient in Microsoft Office applications.
  • Experience in life science consulting is a plus.
