Emergo by UL is comprised of two consulting businesses focused on supporting many of the world’s leading medical device and pharmaceutical manufacturers globally. The Human Factors Research & Design (HFR&D) team is an industry leader in providing user research, user interface design, usability testing and other human factors consulting services to its clients in areas such as drug-delivery products, critical care devices, robotic-assisted surgical systems, medical software, and laboratory instruments. Emergo is a leading regulatory consulting business specializing in global medical device and IVD compliance with comprehensive solutions, both consulting and software based, designed to help medical device companies achieve and maintain global regulatory compliance and commercial success.

What you’ll learn & achieve:

This position can be remote anywhere in the US near a major airport. 


The Project Coordinator, Workforce Analyst role is a critical one because this individual will be the primary contact point for:


(1) HFR&D sales personnel who propose projects, and

(2) subject matter experts (SMEs)/project leaders who seek to schedule and staff their assigned projects scheduled and staffed.


The Project Coordinator, Workforce Analyst will communicate frequently with multiple team members to obtain and maintain a clear understanding of the sales opportunity pipeline and existing work on hand. This will help them ensure proper staffing and capacity planning based on team member availability and skills in relationship to the customers’ needs.


The Project Coordinator, Workforce Analyst will collaborate with the team’s senior leadership as well as the its operations manager to allocate projects and resources are appropriately. 


Our environment is dynamic and ever-changing, moving at a fast pace alongside our client’s evolving needs. The global Resource Planning team consists of resource planning professionals and former consultants who understand the sense of urgency that is synonymous with consulting. This is a fast-paced role where consultants are highly utilized and frequently work on multiple projects in a client driven, results-oriented environment. There is a need to resolve resourcing demands quickly, find creative solutions, and to discuss them with key stakeholders to come to a decision.


This role reports to the Operations Manager for the Human Factors Research and Design team.


Key Responsibilities:

We are looking for an individual who can identify and resource consultants to client projects, business development opportunities, thought leadership activities, and internal initiatives in a fast-paced environment.


Within the first 3-6 months, the Project Coordinator, Workforce Analyst will focus on the following: 

  • Shadow and receive on-the-job training from members of the Resource Planning team to learn about the projects we execute, the people on our team and the considerations we make when staffing a project.
  • Learn how to use our resource planning and scheduling tool and begin adding new requests to the system.
  • Receive, organize, and respond promptly to several requests per day from sales personnel and SMEs regarding HFR&D consulting opportunities and support requests.
  • Prepare for Resource Planning meetings by gathering and organizing inputs from project leads, salespeople and other stakeholders.
  • Collaborate effectively with global Resource Planning team colleagues to discuss staffing considerations and come to a decision to deploy SMEs / HFR&D team members to internal and external projects.
  • Engage with the principals and other senior leaders to understand, plan for, and ultimately meet the resourcing demands of the pipeline.
  • Monitor and communicate current and near-term delivery capacity.
  • Serve as initial point of escalation to resolve resource planning conflicts.

After 3-6 months, we expect the Project Coordinator, Workforce Analyst responsibilities to expand and progress to include the following broader responsibilities, in addition to the above: 

  • Maintain resource planner and scheduling tool by inputting new staffing requests, modifying plans due to project changes and ensuring accurate view of upcoming capacity.
  • Communicate with stakeholders independently to gather information about project and staffing needs in preparation for Resource Planning meetings.
  • Provide provisional staffing plans for consideration and discussion during Resource Planning meetings and be able to explain the logic leading up to that recommendation. 

What makes you a great fit:

  • Associates Degree, Bachelor’s degree, or equivalent (e.g., military service in a operational support role).
  • Proven problem-solving skills and high attention to detail.
  • Strong written and verbal communication skills.
  • Excellent team-based interpersonal skills, as well as the ability to work independently.
  • Ability to demonstrate determination, diplomacy, and resilience.
  • Highly organized with the ability to rapidly assimilate multiple types of information from a variety of sources for effective decision making.
  • Ability to quickly learn and adapt to different software tools and systems.
  • Proficient in Microsoft Office applications.
  • Salesforce, Oracle, PSA, and PowerBI experience is a plus.
